Booking reports
To generate Booking Reports:
1. Go to Marketing>Reports>Bookings
2. From the Date selection [1] dropdown menu, select if you want to generate a report:
- by date booked (the date of your appointment), or
- by the day the booking was made
3. Select the date range [2]
4. Select the other variables- such as service [3], resource [4], promotion [5]
5. Select the booking status [6]: normal, canceled, no-show or pending payment
6. Select if you want to generate a report of bookings with Payments [7] with no balance due and/or with balance due
7. From the Created by [8] dropdown menu, select if you want to generate a report for bookings created by:
- anyone
- customers
- a specific account user
8. Select the Data aggregation [9].
9. Tick the Participants [10] checkbox if you want to show one participant per row.
10. Tick the Customer details [11] checkbox if you want to include customer and participants custom fields in this report
11. Click on the Go button to generate the report.
Payment reports
Payment reports can help you monitor and analyze your cash flow. To generate payment reports:
1. Go to Marketing>Reports>Payments
2. In the From and To section [1], select the date range
3. From the Type [2] dropdown menu, select the payment type
4. In the Payment processing [3] section, tick Payment Gateway and/or Manual Payment
5. In the Payment method [4] section, tick the checkbox(es) to select payment methods that you want to include in the report. You can use the Check all and Uncheck all buttons to quickly select or unselect methods.
- Existing credit are manual payments recorded with the reason "existing credit"
- Account credit is customer's credit that was assigned from the Bookeo dashboard
6. Click on the Go button to generate the report
7. Click on the Download as xls button to download the report.
Customer Reports
Customer reports let you get a list of all the customers, total appointments, cancellations, and, most importantly, view the time of customers' next appointment and the time of their last appointment, so that you can take appropriate actions, for example, follow up calls.
1. Go to Marketing>Reports>Customers
2. Select if you want to generate a report for members, non-members or both
3. Select the date range or leave "any" if not required
Gift Voucher Reports
This report breaks down your gift voucher activity by gift voucher type, status, source, and date range. To generate a gift voucher report:
1. Go to Marketing>Reports>Gift Vouchers
2. Select the date range
3. Select if you want to generate a report for used or unused vouchers, or for both
4. Select if you want to generate a report for generic or specific gift vouchers, or for both
Waiting list Reports
The waitlist report displays services with active waitlists during a selected date range. To generate a waitlist report:
1. Go to Marketing>Reports>Waiting lists
2. Select if you want to generate a report of waiting list entries by:
- the date the customer registered for (this is the date of the appointment)
- the date when the waiting list entry was created
3. Select the date range
4. Select if you want to filter the report by class/tour/game or if you want to generate a report for all your classes/tours/games.
Coupon Reports
The coupon report lets you see used and unused coupons for a specific multi-coupon code promotion. To generate a coupon report:
1. Go to Marketing>Reports>Coupons
2. Select the promotion for which you want to generate a report from the dropdown menu
3. Select if you want to generate a report of used or unused coupons or both
Promotion Reports
The promotions report helps you keep track of active and expired promotions, and track the success of your promotional campaigns. To generate a promotion report:
1. Go to Marketing>Reports>Promotions
2. Select the promotion type for which you want to generate the report - single code, multiple coupon codes or both.
3. Select if you want to generate a report of expired, non-expired promotions or both.
Prepaid credit report
The Prepaid credit report lets you see used, unused, valid, and expired prepaid credits. To generate a prepaid credit report:
1. Go to Marketing>Reports>Prepaid Credits
2. Select if you want to generate a report for used or unused prepaid credits
3. Select if you want to generate a report of expired, not expired prepaid credits or both.
Schedule Reports
Schedule reports give you an overview of booked, blocked, available and canceled tours/classes/workshops – for a single day or for multiple days. To generate a Schedule report:
1. Go to Marketing>Reports>Schedule
2. Select the date range
3. Select the class/tour/workshop
4. Select the resource, booking status
5. Select if you want to list every class in a course.
