You can configure and define your resources and staff. Additionally, you can choose whether to display these resources to your customers during the booking process, and whether customers are allowed to select specific ones.

Bookeo Appointments
In this article:
Create a resource type
1. Go to Settings>Resources
2. Click on the New type of resource button
In the Name section, input the custom name for your
resource
type.
3. Save
Set up resources for this resource type
1. Click on the New resource button to define the resources
of this type
2. Input the Name of the resource (i.e. Kelly,
Linda)
and, if you want, a Description (profile, experience...).
3. In the Image section, you can click on the
Upload button to upload an image for this resource.
The
image will be shown to customers when they make a booking if you enable
the
feature to let them pick a resource. Click

4. In the Confirmation message section, you can type
a Confirmation
Message that will be included in confirmation and reminder emails sent
to
customers when this specific resource is booked.

You can also set up a general Confirmation message for all your services
in Settings>Messages. Click

5. In the Available hours
section, from the drop-down menu, select:

Use opening hours of the business if the resource is available during the opening hours of the business, that you set up in Settings>Time Settings

Use a specific schedule for this resource and set up a specific schedule for each day of the week
6. In the
Special available time slots
section, you can define periods of time during which this resource is
available,
in addition to the general availability set up in the
Available Hours
section. This is useful, for example, if the resource works occasionally
on a specific day of the week.

7. In the Availability section, you can also set when a resource is available (main availability setting) or NOT available (annual leave, elective surgery...). From the drop-down menu, select if:

this resource is NOT available during the following period: the resource is not available during specific times and set periods of non-availability
-
this resource is available ONLY during the following period: the resource is available only during specific times and set periods of availability

It is possible to make a booking for a service if:

the service is available. The availability of each service is set up in the Availability tab of each service, in Settings>Services offered and additional options. Click here for more information

the resources used to provide the service - for example, therapists and rooms - are available
8. In the
Nickname
section, you can choose a nickname to be used internally to define this
resource
and to make the calendar more compact. Only you and your account users
will
be able to see this nickname.
9. In the
Enabled
section, tick on the Enabled checkbox if this resource
can
be assigned by Bookeo to a booking made from users of your account or
from
your customers. For example, you should untick the checkbox if the resource
no longer works for your business. Click

The resource must be Enabled
If the Enabled checkbox is not ticked, it will not be possible to make a booking for this resource.
10. In the Notes
section, click on the Add new note button to add a note
about this resource.

Bookeo Classes and Courses
This section explains how to set up resources in a Bookeo Classes and Courses account. Resources are, for example, teachers and rooms.
In this article:
Create a resource type
1. Go to Settings>Resources
2. Click on the New type of resource button
3. Specify the Name of your resource type. In the Generic name section, choose the name of this resource type (i.e. teachers, instructors...) from the dropdown menu
If the name of your staff is not in the list, you can specify it selecting Other from the dropdown menu, then input the custom name.
Create resources for this resource type
1. Click on the New resource button to define the resources of this type
2. Input the name of the resource (i.e. Kelly, Paul, Teacher 1, Teacher 2...) and, if you want, its description (profile, experience...)
3. If you want, you can upload an image for this resource, that customers will see when they make a booking.
4. If you want, you can type a confirmation message that will be sent in the confirmation and reminder emails to customers when this resource is booked.
Set the availability of the resources
Personal lessons/appointments
This setting will show only if you have set up personal lessons/appointments in your account and it will affect their availability
Weekly availability schedule for personal lessons/appointments
In the Available hours section, from the dropdown menu, select

Use opening hours of the business
-
Use a specific schedule for this resource and set up a specific schedule for each day of the week
Special availability, restricted availability or unavailability for personal lessons/appointments, in addition to the weekly availability schedule
In the Special available time slots section, you can define special time slots during which this resource is available. This is useful, for example, to set the resource as available on specific dates, or occasionally at night, for personal lessons/appointments, besides the general availability.
In the Availability section, you can set a restricted availability (i.e. only in December) or when this resource is NOT available for personal lessons/appointments (annual leave, and so on)

8. In the Nickname section, you can choose a nickname to be used internally to define this resource and to make the calendar more compact. Only you and your account users will be able to see this nickname.

What is the meaning of the Enabled checkbox?
If the Enabled checkbox is not ticked, it will not be possible to make a booking for this resource, for personal lessons/appointments.

2. Input the Name of the resource (i.e. Kelly, Paul, Guide 1, Guide 2...) and, if you want, its description (curriculum, experience...)
3. If you want, you can upload an Image for this resource, that customers will see when they make a booking.
4. Optionally, you can type a confirmation message that will be sent in confirmation and reminder emails to customers when this resource is booked.
Set availability for your resources
(this setting will show only if you have set up open schedule tours in your account)
1. Weekly availability schedule for Open schedule tours
From the drop-down menu, select:
- Use opening hours of the business

or use a specific schedule for this resource, for each day of the week (in the example below, the resource is available for Open schedule tours on Monday and Tuesday, from 9am to 6pm)
2. For all tours and activities: you can set special availability, restricted availability or unavailability

you can define special time slots during which this resource is available. This is useful, for example, to set the resource as available on specific dates, or occasionally at night, besides the general availability.

you can set a restricted availability (i.e. only in December) or when this resource is NOT available (annual leave, and so on)

Please remember that it is possible to make a booking only if all the resources involved (guides, buses, etc.) and the service requested are available

You can choose to show or hide a resource from customers at any time. For instance, if it is no longer part of the staff or business.
You can define Permissions - what level of access the users have over this resource.
